Administrative Assistant

 

DFC Consultants, a Stoneridge Company, is hiring for an Office Administrator. This position will be the primary contact for welcoming and receiving guests, answering phones, filing, setting up conference calls, making travel arrangements, maintaining calendars and providing administrative support.

 

Duties

 

Reception

  • Answer telephone, provide info to callers and direct to right person or take a message/transfer to voicemail.
  • Meet and greet clients and visitors.

 

Administration

  • Set up conference calls when needed.
  • Enter and update support cases in CRM.
  • Create and modify documents using Microsoft Office.
  • Perform general clerical duties to include but not limited to: phone calls, telemarketing, copying, scanning, mails mailings, and filing.
  • Make travel arrangements for staff that will be travelling.
  • Coordinate birthday and anniversary cards or events.
  • Email weekly calendar updates for staff.
  • Create contracts for existing and new customers.

 

Program Support

  • Provide ad-hoc data entry and support for our Accounting team.
  • Assist with Marketing duties as assigned.
  • Send committals for scheduled on-site visits.
  • Support staff in assigned project based work.
  • Assist bookkeeper with printing weekly time from timekeeping system, and making changes upon manager review.

 

Housekeeping

  • Maintain routine maintenance for company vehicles.
  • Main point of contact for office cleaning, snow removal, lawn care and recycling services.
  • Responsible for ordering supplies for Fargo, Bismarck and Dickinson offices.

 

Skills and Qualifications

 

  • 3+ years in related field
  • Strong time management and organizational skills
  • Ability to effectively communicate and interface with all levels of the organization
  • Ability to take initiative in a fast-paced, task/deadline oriented environment
  • Knowledge working in consulting preferred.
  • Highly proficient in Microsoft Office Suite, including Outlook, Word, Excel and PowerPoint.
  • Ability to work primarily independently and concurrently manage multiple projects.
  • Ability to work collaboratively for the best interests of the business and the team.
  • Ability to multi-task and effectively prioritize numerous projects simultaneously.
  • Flexible and open-minded to various projects and tasks related to position.
